You can use the Memo-pad to cover everything you own - just to make it simple. (The old KISS method = Keep It Simple Stupid). Each property in your portfolio gets a separate file, and all of them are put under a category like "Prop List". At this point it's easy to maintain and access what you own.

Even if you own or manage 20 or more, it can work great, and relieve a lot of stress. If I get a call, no problem, even it I'm at the beach with my family, all the files are with me. While I'm on the phone, I just look up which handyman or warranty company I use for that particular property, and call them, get them in connected with my tenant, and my job is done! That's all there is to it. Well, of course, I still have to pay the bill. And theres always the option of just going to the property and taking care of it yourself.

What you keep in the file is up to you. I keep loan numbers, payment and date information, mortgage contact, property management contact, insurance contact, tenant information, vacancy numbers/ratio's, maintenance records, handyman contact, HOA and HOA maintenance contact,
and much more. I even have the paint name and numbers for each room in each unit. If a tenant moves out and there is a little damage where paint touch up is needed. No worrying about trying to match the paint, I just go by my home improvement center and give them the name and numbers. A few minutes later, Ive got the paint I need and Im on my way to the unit. I also keep an entire list of household items in a repair file. While performing a walk-through inspection, I can come within pennies of the repair costs for the unit, just by referencing this repair file. I do have to keep the file updated about every six months or so. Which isnt that hard, Im usually in the home improvement center about every two months.

Home Owner Association (HOA) and HOA maintenance contacts are really a great idea for Condo owners. Knowing what maintenance is covered by the HOA is a life savor. You wouldn't want to pay your own handyman or plumber to do some work that the HOA maintenance crew could have done for free! I've come across this more than a few times. Many HOA's will not pay reimbursement to a non-licensed handyman. And some HOA's will not reimburse a "Licensed Contractor" fee if they deem it too high priced. Its just easier to have your contractor contact you and then you contact your HOA administrator to find out what is covered and what is not. This way you can avoid all expensive situations prior to them occurring, anywhere anytime.
